Office Manager

We are seeking a dedicated Office Manager with an excellent organizational skill to join our team and support us in building a vibrant and supportive community for young people. The ideal candidate should be friendly flexible in handling day-to-day operations and unexpected situations.
The Office Manager ensures smooth office operations by defining procedures, communicating them to management, and guaranteeing safety. Furthermore, they contribute to the efficiency of our organization by fostering a positive and inclusive work environment.
Responsibilities of this position include:
• Providing a friendly and personal welcome to visitors at the office.
• Ensuring optimal office operations and preventing potential problems.
• Adherence to policies, procedures, and standards to optimize workflows.
• Responding to inquiries and questions regarding office operations.
• Ensuring office efficiency through the maintenance of common areas, organizing workflows, handling correspondence, managing the filing system, and monitoring supplies and equipment.
• You are the primary contact person for all daily office activities and regularly inform management about work results.
• You provide direct administrative support as needed, such as scheduling appointments, meetings, and events, maintaining filing systems, and updating the contact database.
• You monitor and maintain office equipment to ensure smooth operation, identify needs, and procure supplies. You are responsible for all space and infrastructure planning (e.g., relocations, expansions, workplace changes) and provide answers, resources, and solutions upon request.
Required Skills and Qualifications:
• At least two years of experience in office management
• Excellent time management, strong communication skills, high flexibility, and outstanding multitasking abilities
• Proficient use of Microsoft Office applications and the ability to quickly learn new software and systems
• Confidentiality in handling company information
• Desired Skills and Qualifications:
• Experience in developing internal systems, computer skills, and experience with online applications
